Your phone rang at 7:42 PM. You were under a truck.
VessaFlow is an AI receptionist for local service businesses. It answers every call around the clock, books the job on your calendar, and texts the customer a confirmation. You find out at breakfast.
Answers in about two seconds · Books onto your calendar · Texts a confirmation
Hear what your customers hear.
Three calls, three trades, one line. These are demonstration calls placed to VessaFlow's own number, not customer recordings, so nobody's private call ends up on a marketing page.

0:02That is a bad spot to sit. Are you somewhere safe off the lane?
0:06Yeah I got it onto the shoulder.
0:11Good. It is a dually, so I will send the flatbed. About forty minutes. Can I get a callback number?

SampleChipped a molar, can you fit me in this week?
Transcript
I chipped a molar on Saturday. Any chance you can fit me in this week?
0:02We can. Is it painful right now, or more sharp against your tongue?
0:08Just sharp. Not really hurting.
0:13Then Thursday at 2:15 works for an exam. I will put you down and text you a confirmation.
0:16Then VessaFlow texts them, so nobody wonders if it went through.
The customer gets one message with the details read back to them. It goes out only after they said yes out loud, on a call they placed. No marketing texts, ever.

What it actually does on the call.
Not a list of features. These are the five things that decide whether you trust it with your phone.
It answers on the second ring, at 2am, every time
Answers in about two secondsNo hold music, no phone tree, no voicemail. It talks like a person and you can interrupt it mid-sentence the way you would a real receptionist.
It puts the job on your calendar without double-booking you
Checks your calendar twiceIt checks your real free/busy before it offers a time, then checks again in the instant before it writes the appointment.
It reads the details back and will not book until they say yes
Enforced in code, not just asked forName, number, address, what is wrong, when. The caller confirms out loud before anything lands on your calendar, so you do not wake up to garbage appointments.
It will never make up a price or a policy
Quotes only from your listPrices come from your price list and answers come from facts you gave it. Anything it does not know becomes a callback instead of a guess.
Anyone can reach a person by asking, or by pressing a key
Voicemail and an alert if nobody answersIt rings your team in the order you choose, follows your on-call rotation, and if nobody picks up it takes a voicemail and alerts you. A call never ends in dead air.
What it does not do: it will not pretend to be a person, it does not remember callers between calls, and it does not plug into ServiceTitan or Housecall Pro. Bookings and messages can be pushed to any system that accepts a webhook.
Every booked job traces back to the call that caught it.
VessaFlow keeps a ledger. One line per job, with the call that produced it attached. On Monday you can see, in dollars, what it caught that week.

Setup
$499 one time. We write your prompts, connect your calendar, set up your number, and register your texting with the carriers.
Going live
Answering starts as soon as your agent is approved. Confirmation texts switch on once carrier registration clears, which usually takes one to three weeks.
Cancel
Month to month. No contract.
The questions everyone asks.
Mostly the skeptical ones. If yours is not here, email us and it probably gets added.
Will my customers know it is not a person?
Yes, and that is deliberate. It says it is an automated assistant before anything else happens, and the system checks the transcript to confirm that line was actually spoken. If it was not, the assistant is blocked from booking, transferring, or quoting until it is.
Does it sound like a robot?
It sounds like a calm person on a headset. You can interrupt it mid-sentence and it stops and listens, which is most of what makes an automated line feel robotic. Play the calls above and judge for yourself, because that is the only honest answer to this question.
What happens if someone wants a real person?
They ask, or they press a key, and it rings your team. You choose the order it dials and it follows your on-call rotation. If nobody picks up it takes a voicemail, transcribes it, and texts you. A call never ends in dead air.
What if it gets something wrong?
It will not invent a price or a policy. Prices come from your list and answers come from facts you gave it, and anything else becomes a callback rather than a guess. You also get a text and an email with the full transcript of every call, so nothing happens on your line that you cannot read back.
Will it double-book me?
It checks your calendar before it offers a time and checks again in the instant before it writes the appointment. The exception is on-demand dispatch work, like a tow, where several jobs are meant to overlap and it will not block one on another.
How long until it is answering my phone?
We build your agent, you listen to it and approve it, then it goes live. Answering starts first. Confirmation texts switch on once the carriers finish registering your business, which usually takes one to three weeks and is outside anyone's control.
How is this different from hiring someone part-time?
A part-time receptionist in Georgia runs roughly $2,000 to $2,800 a month before payroll tax, and covers about 20 hours a week. This is $349 to $997 and covers all 168. It is not better than a great receptionist. It is better than voicemail, which is what actually answers at 7:42 on a Tuesday.
Do you text my customers marketing?
No, and the system will not let us. It sends one confirmation for an appointment they just booked, and at most one callback offer if their call dropped before we could book it. Reply STOP and every message stops immediately.
Does it work with my scheduling software?
It books directly onto Google Calendar or Microsoft 365. There is no native ServiceTitan or Housecall Pro integration. Every booking and message can be pushed to any system that accepts a webhook, including Zapier and n8n, so most stacks can be wired up.
